Looking after your information
We only collect what we need to run your booking, answer your enquiry and keep every little one safe. Here's what we collect, why, and how we look after it.

The Cabana Club is a play café for babies and children up to age 6, run by The Cabana Club Ltd, a company registered in England and Wales (company number 17344271), with its registered office at 16 Sewerby Avenue, Bridlington YO16 7DG. Our play café is at 12–13 Prince Street, Bridlington YO15 2NW. We are the data controller for the personal information described in this policy.
This policy explains what information we collect when you visit our website, book a play session, enquire about a party or visit us in person, and how we look after it. We are registered with the Information Commissioner's Office (ICO), registration number [ICO number – confirmation due].
| When | What we collect |
|---|---|
| Booking a play session | Your name, email address, phone number, the tickets you choose and your session date and time. Bookings are taken through TicketsCandy, and payment details are processed securely by Square. We never see or store your card details. |
| Party enquiry form | Your name, email address, phone number, preferred date, party size, the birthday child's name and age, and anything else you choose to share, such as allergies or dietary needs. |
| Contacting us by email, phone, WhatsApp or social media | Your name, contact details and the content of your messages. |
| Visiting the club | Details of any accident or incident involving you or your child, and CCTV footage from inside the club. |
| Using our website | Basic technical information such as your device, browser and the pages you visit, through cookies (see Cookies). |
We never ask for more information about your child than we need. If you tell us about an allergy, medical need or additional need, we use it only to keep your child safe and to plan your visit or party.
UK data protection law requires a lawful reason for each use of your information. Ours are set out below.
| What we use it for | Our lawful basis |
|---|---|
| Taking and managing bookings, payments and refunds | Contract: we need it to provide what you've booked |
| Replying to party enquiries and planning parties | Steps before a contract, at your request |
| Contacting you about your booking, such as changes or closures | Contract |
| Recording accidents and incidents, and keeping the club safe | Legal obligation and legitimate interests |
| Using allergy, medical or additional-needs information | Your explicit consent, which you can withdraw at any time |
| Keeping financial records | Legal obligation |
| Keeping our website working and secure | Legitimate interests |
We will never sell your information or use it for anything unrelated to The Cabana Club.
We collect information about children only from their parent or carer, never from children directly.
We share information only with trusted services that help us run The Cabana Club, and only what they need.
| Service | Why |
|---|---|
| TicketsCandy | Our booking system: takes session bookings and stores your booking details |
| Square | Processes payments for online bookings and in the club |
| Our website provider (HighLevel / LeadConnector) | Hosts our website and passes party enquiry form answers to our email |
| Google, our email provider | Receives and stores emails and enquiries |
| Meta (Facebook, Instagram, WhatsApp) | If you message us through these platforms |
| Our insurer | Only if there's an insurance claim, such as after an accident |
Some of these providers may store data outside the UK. Where they do, they use legal safeguards approved under UK data protection law. We may also share information where the law requires it, for example with the police or local authority to protect a child's safety.
We keep information only as long as we need it, then delete or securely destroy it.
| Information | How long |
|---|---|
| Party enquiries that don't go ahead | 6 months |
| Booking details | 12 months after your visit |
| Allergy and medical information for a booking or party | Deleted after the visit or party |
| Financial and payment records | 6 years, as required for tax purposes |
| Accident and incident records involving a child | Until the child turns 21 |
| CCTV footage | [30 days – Emma checking], unless needed for an incident |
We protect your information with password-protected accounts, limited staff access and secure, reputable service providers. Accidents are recorded in an HSE-approved accident book, which is kept securely. Only our management team, the injured person or their representative, and our insurer (if there's a claim) can see a record. Any member of our team can add an entry.

The small print
Like most websites, ours uses a few small files called cookies. Here's what they are, which ones we use and how you can control them.

Cookies are small text files saved on your phone, tablet or computer when you visit a website. They help the site work properly, remember your choices and, in some cases, show the website owner how the site is being used.
Some cookies are essential and are set automatically. Any that aren't essential are only used if you agree to them.

We don't use analytics or advertising cookies, and we don't sell any information collected through cookies.
Some parts of our website are provided by other companies, which may set their own cookies. We don't control these, so please check their own cookie and privacy policies.
